Roofing proposal template with an itemized estimate example

A roofing proposal needs to distinguish the visible work from conditions that are not yet confirmed. This template helps you describe the measured area, selected roofing system, removal work and price breakdown before a client approves the job. Record the job and the measurement basis

Identify the property, which roof sections are included, and whether the work is a repair, partial replacement or full replacement. State the unit used for measurements. Explain whether the measured area includes an allowance for waste; do not add the same allowance twice when ordering or pricing materials.

  • List the roofing material and specification, including underlayment and any insulation or ventilation work you are offering.
  • Identify flashings, valleys, edges and penetrations that are included. Keep gutters and other optional work separate.
  • Describe removal, disposal, site protection and access equipment where these are part of your offer.
  • Record permit responsibility, access restrictions and weather dependencies when applicable. Confirm local requirements for the actual job.

Roofing estimate example: an 80 m² section

This fictional estimate covers a measured 80 m² roof section. The supply-and-install line includes the selected covering and underlayment, with removal, flashing and disposal priced separately. The amounts are examples for checking a proposal layout, not market rates or a technical specification.

Handle hidden damage and additional work explicitly

A covering replacement does not automatically include structural repairs or replacement of all roof decking. State what the inspection confirmed and what could only be assessed after removal. If you offer a unit rate or allowance for additional work, include the exact basis and an approval step. Otherwise leave the additional work unpriced until it can be inspected and agreed. Avoid vague wording that turns an unknown condition into an unlimited commitment.

Set payment and warranty wording deliberately

Confirm the applicable tax treatment before presenting a final payable total. If that total is USD 3,650 and the chosen deposit is 20%, show USD 730 upfront and USD 2,920 remaining, with due dates you have actually selected. Keep a manufacturer’s material warranty separate from any workmanship promise you provide. Do not copy a warranty period or legal clause from an example unless it applies to your work.

Replace the brackets with inspected or agreed facts. Use “to confirm” for unanswered questions so a draft does not invent specifications, prices or obligations.

Check consistency before the client sees the PDF

Compare the measured area in the scope with the quantity in the pricing table. Check that removal and disposal are not charged twice inside a package. Confirm that optional gutters or repairs do not appear as included work elsewhere. Review the start-date wording, warranty information and any open decisions, then download a copy of the version you send.

Can this be used for a roof repair?

Yes. Replace the replacement scope with the specific repair area, the issue assessed and the work you intend to perform. Describe access and any investigation that is still needed. Do not imply that a limited repair covers the condition or performance of the entire roof.
